Role and Responsibilities:
The ideal candidate will be polished, mature, incredibly organized, and able to multi-task and manage several projects, have excellent communication skills, and the ability to work aggressively to meet deadlines. This individual will communicate frequently with customers, clients and high-level Executives within this dynamic team. A strong knowledge of Microsoft Office applications are a must. Additional duties include but are not limited to managing busy calendars, travel arrangements, drafting correspondence and special projects. Manage and organize the CEO's highly-complex and demanding calendar, including meetings with internal and external stakeholders. Anticipate the needs of the CEO by consistently staying ten steps ahead.
Manage the CEO's email and phone calls with the highest level of confidentiality. Use discretion and judgment in providing communication to and on behalf of the CEO and executive team.
Performs general support duties, including mailings, copies, printing, coordination of schedules, office set up, maintaining office equipment, space planning, etc.
Prepares expense reports, makes travel and accommodation arrangements or team members, schedules and plans meetings, appointments including scheduling conference rooms, maintaining meeting materials, and supplies.
May be responsible for managing meeting requests and transportation for VIP visitors
Senior leader interaction, including Directors and senior leadership team members.
May be responsible for reconciliation and tracking of budget items
Assist in events planning, including scheduling, catering, set up and break down
Develops and maintains relationships with area hotels and other vendors. Ensures billing information is up to date for all vendors/hotels
Place Inventory Requests for devices as needed
